This Privacy Policy explains how mindServ ("we", "us", "our") collects, uses, discloses and protects personal data through the mindForce mobile application (the "App") and its associated web portals and services (together, the "Service").
Contents
1. Information we collect
We collect only the information needed to operate the Service for the Customer Organization that employs or engages you.
| Category | Examples | Why |
|---|---|---|
| Account & identity | Name, employee code, mobile number, email, role, organization, and your login credentials (passwords are stored only as salted Argon2 hashes) | To create and secure your account and route your work |
| Precise location | GPS coordinates, accuracy and timestamp — collected periodically while you are on an active shift, including in the background | Live team tracking and server-side geo-fence verification of field visits |
| Camera & photos | Proof-of-visit photographs you capture, watermarked with date, time and GPS | Evidence that a visit took place, where and when |
| Calls & call metadata | Numbers you dial from the in-app softphone, call time, duration, outcome/disposition, and — where enabled by your organization — call recordings | Campaign calling, quality, compliance and dispute resolution |
| Device information | Device identifier (for single-device login pinning), app version, OS version, and battery level | Security, session integrity and support |
| Work records | Assigned tasks and leads, customer/debtor details supplied by your organization, visit outcomes, follow-ups and collection entries | To perform the collections and field-service work the Service exists for |
| Diagnostics | Error and sync logs generated by the App | To keep the App reliable, including its offline queue |
We do not collect data for advertising, we do not sell personal data, and the App contains no third-party advertising SDKs.
2. Location, including background collection
mindForce collects precise location in the background — that is, while the App is not open on screen — but only while you have an active work shift started in the App. When your shift ends, background location collection stops.
- Location is used to show supervisors a live map of the team during working hours, and to confirm that a field check-in physically occurred at the customer's address (geo-fencing).
- Location is sampled on an interval set by your organization (typically every few minutes), not continuously.
- Location is never used for advertising and is never sold.
- You can stop all location collection at any time by ending your shift, signing out, or revoking the location permission in Android Settings (doing so will limit field-visit features).
3. Android permissions we use
| Permission | Why the App requests it |
|---|---|
| Location (precise & background) | Live tracking and geo-fenced visit verification during an active shift |
| Camera | To capture watermarked proof-of-visit photos |
| Microphone | To carry voice on calls placed from the in-app softphone |
| Phone / call audio | To place and manage work calls over the internet (VoIP/SIP) |
| Notifications | To alert you to assignments, follow-ups and shift status |
| Network / connectivity | To sync work with our servers and detect offline mode |
| Foreground service | To keep tracking and calling working reliably while on shift |
Permissions are requested at the point they are first needed, and you may decline or later revoke them in Android Settings; some features will then be unavailable.
4. How we use information
- To provide the Service — assign and complete calling and field-visit work.
- To verify field visits and prevent fraud (geo-fencing, watermarked photos, tamper-evident logs).
- To secure accounts (device-pinned sessions, revocation, audit logging).
- To support quality and regulatory compliance for collections activities.
- To operate, maintain, debug and improve the reliability of the App.
We process this data to perform the contract with, and on the documented instructions of, the Customer Organization, and to meet our legal obligations.
5. How information is shared
- Your Customer Organization. Your work data, location during shifts, call records and visit evidence are visible to authorised supervisors and administrators of the organization you work for.
- Service providers. We use infrastructure and communication providers (for hosting, telephony/SIP, and SMS delivery) strictly to run the Service, under confidentiality and data-protection terms.
- Legal. We may disclose information where required by law, regulation, or valid legal process, or to protect rights, safety and the integrity of the Service.
- We do not sell personal data or share it with advertisers or data brokers.
6. Storage, security & retention
- Data is transmitted over encrypted connections (HTTPS/TLS) and stored on secured servers.
- Passwords are stored only as Argon2id hashes; sensitive calling secrets are encrypted at rest.
- Access is role-based and scoped to each organization; one organization's data is not visible to another.
- We retain personal data for as long as your account is active and as needed to provide the Service and meet legal, accounting and dispute-resolution obligations, after which it is deleted or anonymised. Retention periods for work records are set by your Customer Organization.
7. Your rights
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023 (DPDP Act), you may have the right to access, correct, update or request deletion of your personal data, to withdraw consent, and to grievance redressal. Because much of your data is processed on behalf of your Customer Organization, please raise such requests with that organization first; we will support them in responding. You may also contact us using the details below.
For users in other jurisdictions, comparable rights may apply under local data-protection law.
8. Children
The Service is intended only for adults employed or engaged by a Customer Organization. It is not directed to, and we do not knowingly collect data from, children.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Effective" date above and, where appropriate, notify Customer Organizations. Continued use of the Service after an update constitutes acceptance of the revised policy.
